Position Description

Bay Aging is seeking a Systems Design Specialist. Find your full potential in a collaborative environment where you

Provides information technology support for Bay Aging users of key business software applications. Reports to the Chief Financial Officer.

1. Web presence (20%):
- Webmaster for all corporate sites (e.g.,,
- Work with Bay Aging to develop content and keep sites up to date and relevant for Bay Aging’s mission and business goals.
- Enter and delete all postings within 1 business day of receiving them.
- Perform weekly check to make sure all information is up-to-date.
- Monitor and maintain the accuracy of information related to Bay Aging web presence corporate on affiliated sites (e.g. Virginia 211, Senior Navigator), major social media sites and any site with an active link to Bay Aging and its affiliates. Acts as the Administrator for these social media platforms.
- Proficient with Facebook and Google Advertising (Pay per click).
- Proficient with Google Analytics.
- Monitor security of all corporate websites
- Produce monthly reports on the status of all corporate websites.
- Place and run onsite surveys as requested by management.
- Work with the Vice President of Development and Marketing on disseminating publicity and newsletters.
- Proficient in developing, launching and maintaining LinkedIn profile, Twitter feed, taping video content and posting on YouTube channel.
2. System administrator of key business applications (60%):
- PeerPlace: Provide first-line user support. Add and remove users. Track users’ compliance with yearly training requirements and logins. Attend monthly webinars. Investigate, document and resolve discrepancies. Forward unresolved issues to administrators at the State level.
- MITC: Maintain and support software generating timesheets for employees of Bay Home Care. Ensure data flows into accounting software and generate corresponding billing information. Investigate, document and resolve system discrepancies.
- E-Z Claim: Maintain and support application connecting in-house accounting software to VAMIS website. Investigate, document and resolve discrepancies. Forward unresolved issues to administrators at the State level.
- Blackbaud (in-house accounting system): Act as the primary technical liaison with Blackbaud on implementation and management of cloud-based platform. Serve as technical lead in transition from current systems (GMS/GHG) to Blackbaud/ADP.
3. Business Support (20%):
- Develop new system interfaces between applications as needed
- Co-ordinate the running of IT reports e.g. annual NAPIS reporting and bi-annual SART, monthly Medicaid compliance reports.
- Operate the Bay Aging ID card function, creating and distributing new ID Cards upon request.
- Other duties as assigned.

Proficient knowledge of all Microsoft Office products.

Working knowledge of:
- Website development standards (e.g. CSSS3, HTML5), content management (e.g. WordPress) and programming language (e.g. JavaScript)
- Relational database management system and dataflow concepts
- Crystal Reports application
- Adobe Photoshop & Illustrator

- Creative problem solving.
- Search and access information
- Establish and maintain effective working relationships with co-workers, and representatives of outside agencies.
- Strong verbal communication skills in person and on the phone
- Strong written communication (e.g. reports, letters, emails)

Office-based position with minimal physical requirements (ability to lift 20lbs, walking and climbing stairs). Occasional independent travel required around the area served by Bay Aging. 30% of the essential functions of the position can be performed remotely with phone and internet access.

Requires a Bachelor’s degree in relevant IT field, and 3-5 years of relevant experience in web design and database management.
Must possess a valid driver’s license.

FLSA status: This is an exempt position.
